Join our team as a Food and Beverage Coordinator and play a vital role in administrative and operational support to the Food & Beverage department to ensure efficient daily operations across all restaurants, bars, banquet, pool, beach, in-room dining, and catering outlets. This position assists with scheduling, payroll support, purchasing coordination, menu updates, inventory organization, guest communication, departmental reporting, and interdepartmental coordination while maintaining brand and service standards. Key Responsibilities:

  • Provide administrative support to the Food & Beverage leadership team.
  • Prepare and maintain daily, weekly, and monthly departmental reports.
  • Assist with scheduling coordination and labor tracking for all F&B outlets.
  • Maintain organized records for invoices, contracts, payroll documents, training records, and certifications.
  • Support management with payroll review, service charge tracking, gratuity distribution, and attendance documentation.
  • Assist with the preparation and distribution of daily operational communication and line-up materials.
  • Coordinate communication between restaurants, bars, banquets, culinary, purchasing, finance, and other hotel departments.
  • Assist with menu updates, printing, POS programming coordination, and outlet collateral organization.
  • Support outlet managers with requisitions, ordering follow-up, and vendor communication.
  • Track maintenance requests, equipment issues, and service tickets for F&B areas.
  • Assist in coordinating holiday events, promotions, activations, and special programming.
  • Respond professionally to guest inquiries, special requests, and feedback.
  • Assist with reservation and event coordination when needed.
  • Support guest recovery efforts and ensure proper documentation of service issues.
  • Maintain confidentiality and professionalism in all guest and employee interactions.
  • Assist with invoice tracking, coding verification, and financial reconciliation processes.
  • Support monthly inventory preparation and reporting.
  • Maintain organized records of outlet expenses, contracts, and vendor agreements.
  • Assist leadership with tracking labor costs, revenue reports, and operational expenses.

Qualifications

  • High school diploma or equivalent required; hospitality or business degree preferred.
  • Minimum 1–2 years of hospitality, restaurant, hotel, or administrative experience preferred.
  • Previous Food & Beverage experience strongly preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in computer software applications, including MS Office, hotel POS systems, PMS systems, payroll, or purchasing platforms preferred.
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Attention to detail and a passion for delivering exceptional guest experiences
