Overview

Are you a highly organized and detail-oriented administrative professional with a passion for hospitality? Join our team as a Food and Beverage Administrative Assistant and play a key role in supporting the dynamic Food & Beverage department at Frenchman’s Reef. This is an exciting opportunity to work in a fast-paced, guest-focused environment where your administrative skills will help drive efficiency and excellence. As a Food and Beverage Administrative Assistant, you will be responsible for managing daily communications, organizing departmental schedules, supporting inventory and procurement processes, and assisting with the coordination of events and staff functions. Your attention to detail, strong organizational skills, and ability to multitask will be essential in supporting the Food & Beverage leadership and contributing to a seamless guest experience.

Key Responsibilities:

  • Provide administrative support to the Director of Food & Beverage and F&B leadership team

  • Manage calendars, schedule meetings, and coordinate departmental appointments

  • Maintain organized files, records, and documentation related to operations, staffing, and compliance

  • Assist in preparing reports, presentations, and internal communications

  • Coordinate onboarding materials and training logistics for new F&B associates

  • Support inventory management, order tracking, and invoice processing

  • Help plan and execute internal F&B events, meetings, and recognition programs

  • Communicate effectively with other departments to ensure smooth operations and interdepartmental collaboration

  • Track timekeeping, attendance, and scheduling needs for the department

  • Handle confidential information with discretion and professionalism

Qualifications

• Previous experience supporting Executive level required 
• High school diploma required, Bachelor’s degree preferred 
• Proficient computer skills to include the use of Excel, Microsoft Word, PowerPoint 
• Ability to deal with confidential information in a discrete manner 
• Ability to communicate both verbally and in writing across all levels of the organization in a clear and concise manner 
• Highly developed organizational skills and ability to prioritize 
• Excellent problem solving skills 
• Independent, highly motivated self-starter 
• Highly developed interpersonal skills, ability to maintain a consistently positive, cheerful, helpful attitude and demeanor 
• Ability to adapt well to changing priorities and situations without a loss of effectiveness 
• Willingness to remain flexible and accessible for communication and consultation
